Example 1: Logistics
Challenge: To arrange the flight ticketing and local transportation of 1400 delegates attending a company conference in Malta.
Solution: GCO researched the flight patterns to Malta and duly advised the client that regular flight capacity would not satisfy to their point-to-point demand. We overcame this challenge in two ways. First, delegates from key countries were ticketed to an intermediary hub from where we chartered planes to fly them to Malta. Second, delegates from secondary- and tertiary-ranked countries were grouped and ticketed on specific flights using the national carrier Air Malta, with whom we had negotiated a larger capacity plane for those specific flights. The ground transportation plan, involving 40 coaches and 100 staff, ran smoothly and efficiently.
Example 2: Administrative
Challenge: To produce a top learning environment at the client’s conference that would reinforce their position as being the main reference point in their field.
Solution: GCO actively participated in the planning phase and was able to contribute to the strategy and objective setting. Once the learning objectives had been identified, we developed a series of educational formats designed to boost the interaction and positive experience of the delegate. This on-site learning was complimented by information bulletins sent in advance of the conference, a daily newspaper during the conference, and proceedings distributed after the conference. Results from the evaluation process indicate that the learning objectives had been met fully.
Example 3: Information and Communication Technology
Challenge: To manage the meeting registration and provide full traceability for HQ chargeback to individual country groups.
Solution: GCO created an online registration portal through which both country representatives could enter group details, and for individuals not assigned to a group to register. The registration process and questions contained within reflected the output ultimately desired. A customised reporting suite was additionally developed that provided country specific attendee and billing information to HQ and to appropriate country representative. 24/7 information accesses enabled the client to quickly and seamlessly launch internal cross-charging. Incidentally, GCO is currently developing a code issuing system for our repeat clusters whereby each group/individual receives a reference code. This code retrieves the group/individual profile from our central database and pre-populates the registration field with event specific information. The aim is to simplify the registration process for the group/individual and to make it more efficient by not requiring the same information to be entered for each event. Naturally, such a system operates in compliance with all applicable data protection and storage laws.
Example 4: Audiovisual
Challenge: To integrate Conference AV with a theatrical production
Solution: GCO has its own in-house equipment and offers worldwide production expertise in meeting, conference and congress AV. Equipment is renewed regularly to ensure state of the art technology is employed on all of GCO client’s productions.
At the Convention Centre in San Diego, GCO managed AV for a main conference room for 650 attendees, which included a 20'0" x 9'0" wide screen, receiving images from three separate computers consequentially able to give one, two or three images. In addition, the main session room had to stage semi-theatrical rendition, including professional actors and real life Psychiatrists in a production entitled a "Psycho Pharma Drama", using the screens as a hospital or surgery background. The main conference room had audience response systems where the room was divided into separate groups, who had to answer group medically based questions based on the production. The results were offered in a visual theme (such as a motor racing circuit), where each group's answers were monitored and reported based on the cars in competition visually travelling a circuit on the large screen.
In addition, AV was managed for some 40 break out sessions, some of which received edited CD's at the end of each session for exchange the following day into differing discussion workshops.
